Overview

KaizApp® is a cloud-based software service supporting the delivery of performance improvements enterprise-wide. It is built with the Ruby on Rails Web Development framework, as used by 90,000+ businesses – including AirBnB, Bloomberg, Groupon, Hulu, Shopify, Yellow Pages and Zendesk.

KaizApp® uses Amazon Web Services (AWS) Elastic Compute Cloud instances (running Ubuntu Linux) with auto scaling groups to ensure high availability. We employ the robust Amazon Relational Database Service for persistent data storage, as well as SSL (Secure Sockets Layer) for establishing an encrypted link between our web servers and users’ browsers on any desktop or mobile device.

IT Onboarding

The following checklist will help you ensure that your intended users have a smooth initial experience of digital performance improvement with KaizApp. This checklist applied prior to starting with KaizApp will help to ensure that KaizApp works as intended for users from the outset. Most issues we have experienced have arisen from items 1, 2, 3 in the list below.

Users and account owners do not need IT training or skills. Most users will find their IT is already correctly configured to use KaizApp. However, IT input is likely to be helpful to ensure that all users have their IS configured appropriately.

SERVERS. Company servers’ security settings must allow email from kaizapp.com. Why: In support of security, some company mail servers strongly restrict inbound email. If servers are set to be very sensitive they might block emails from KaizApp including invitation to join KaizApp accounts, emails containing PDF files with a list of actions per user, etc. Allowing email from kaizapp.com will ensure users receive intended emails from KaizApp.

BROWSERS. Install the latest versions of Chrome or Edge browsers on each of your devices (mobile, tablet, desktop). Why: KaizApp operation is limited to and designed for the fastest and most secure browsers: Google Chrome or Microsoft Edge.
On mobile devices using IOS 15.0 or higher, go to the Settings menu, select Chrome or Edge as appropriate and ensure that “Allow Cross-Website Tracking” is enabled. Why: KaizApp stages information requires this setting to perform updates.

IMAGE CAPTURE. Check that your browser has access to your device’s camera. WHY: KaizApp allows you to upload images/video directly from your device, unless your browser settings prevent this.

WEB SOCKETS. Ensure web sockets are functioning normally and are not blocked by any browser extensions (e.g. AdBlocker), antivirus/firewall software or proxy/VPN connections. If you need further information concerning this, please view the Help file “Web Socket Errors”. Why: When collaborating with other users, KaizApp makes use of lots of real time updates so that all users see the right information in real time; this technology relies on the availability of web sockets.

PASSWORDS. Use safe passwords. Why: KaizApp requires at least a 12 digit password since these require more combinations to break. We recommend the use of pass phrases.

TWO FACTOR AUTHENTICATION. Set up 2FA once signed up. To do this, visit your ‘user profile’. Set up is quick and easy and makes use of secure authenticator apps. A range of authenticator apps are available, we recommend “Authy” which is secure and free. Why: 2FA makes it more difficult for a hacker to access your account since access is no longer possible with your email and your password alone. The KaizApp approach to 2FA using an authenticator app greatly lowers the risk.

DOMAIN ACCESS (It is unlikely that you would need to do this from the start) Determine which email domains will be added to your kaizapp account. For example: domain.com, domain.de, domain.es, domain.jp, etc. Why: KaizApp automatically blocks access to all domains not registered with your account. You can add users of approved domains to your KaizApp account. Your KaizApp account will assume that the business email address (domain) of the first user added to your KaizApp account is the intended base domain. You can add further domains at any time.

MAGNIFICATION. Ensure devices and browsers are not set to high screen magnification; for the best results set magnification setting to factory defaults. WHY: Most devices and browsers support magnification settings for users convenience. KaizApp will not work as intended for high magnification settings. You may not recall setting up custom magnification settings (our experience of users who had this issue), but these settings may also be carried to a new device when migrating your settings from a former device. Use standard 100% magnification and font sizes for the best results.
